How ScoutLink handles personal data

Who controls the data
Stratex Analytics is the data controller for ScoutLink platform, registration, careers and safeguarding data. You can contact us at info@scoutlink.app.
What we collect
ScoutLink may collect account details, role and organisation details, player profile information, match facts, ratings, fixture information, video evidence, scout searches, pipeline activity, notifications, messages, exports, predictions, registration requests, careers applications, CV references and safeguarding or privacy requests.
Why we collect it
We use this information to operate ScoutLink, support coach-led player evidence, verify scout access, help scouts compare available evidence, maintain account security, prevent misuse, support safeguarding, manage recruitment and improve the product.
Registered-user platform activity
When a user registers or signs in, ScoutLink may record platform activity such as logins, page views, searches, player profile views, profile updates, uploads, notes, shortlists, interest registrations, exports, predictions and admin approvals or rejections. This is used to operate and secure the platform, investigate misuse, support safeguarding and maintain audit trails.
Who can access data
Access depends on role and permission. Coaches manage their team/player data. Verified scouts can access player information only through approved product workflows. Stratex administrators access data needed for support, operations, safeguarding, recruitment and security.
Sharing and processors
We use trusted providers such as Supabase for database and file storage, Vercel for application hosting, SendGrid for transactional email and Heap for product analytics. We do not sell personal data.
Product analytics and cookies
ScoutLink uses cookies and product analytics to understand platform usage, improve product quality and support security. Sensitive form content, CV files and safeguarding descriptions should not be sent to analytics tools.
Safeguarding and security logs
ScoutLink may keep safeguarding and security logs including action type, user role, timestamps and affected record IDs. These logs are restricted and used for safety, compliance and misuse investigations.
Compatibility scoring
Compatibility scores are decision-support indicators. They help scouts compare available evidence against role and team-fit criteria. They do not decide whether a player will be selected, signed, trialled or offered an opportunity.
Retention
Records are kept only for as long as needed for the platform purpose, legal obligations, safeguarding, security, support or recruitment administration. Candidate CV records are intended to be retained for a limited recruitment period unless a longer period is agreed or legally required.
Your rights
You can ask for access, correction, deletion, objection or restriction of your personal data. Parents and guardians may also raise requests about youth player data. Use the privacy request form or email info@scoutlink.app.
